As we continue through an exciting period of growth, we’re expanding our Business Support Team and we're looking for a Client Services Coordinator who thrives in a fast-paced environment and enjoys being at the centre of the action. You’ll play a key role in delivering exceptional client experiences, ensuring our clients feel supported while helping keep our people, processes, and operations running smoothly.

  • Providing exceptional support to clients and assisting with day-to-day client enquiries and communication.

  • Preparing and coordinating client documentation, including engagement letters, proposals, quotations, correspondence and other administrative documentation.

  • Manage incoming and outgoing client documentation, including scanning, filing, document registers and maintaining accurate records.

  • Support the monthly billing cycle, prepare invoices, and assist with debtor management

  • Coordinate team and partner meetings and calls, ensuring smooth diary management and scheduling across allocated team members.

  • Oversee the end-to-end onboarding and offboarding process for clients, creating a smooth, professional and seamless experience.

  • Coordinate client job creation, workflow administration and ongoing maintenance of client information and records.

  • Regulatory liaison for all correspondence, including checking and forwarding of ATO correspondence and coordination of lodgments on a daily basis.

  • Maintaining and updating client information across various systems, including Xero, ABR and ATO records.

  • Assisting professional staff with administrative and operational tasks to ensure work is completed efficiently and on time together with organising internal training, meetings and events

  • Supporting internal projects, process improvements and business initiatives as required.

About You?

We’re looking for someone who enjoys helping others, takes ownership of their work, and takes pride in delivering a high standard of service. To succeed in this role, you’ll have:

  • Previous experience in administration, client services, practice support, office coordination or a similar support role.

  • Strong organisational skills and exceptional attention to detail.

  • Excellent communication skills, both written and verbal.

  • The ability to manage multiple priorities while maintaining accuracy and professionalism.

  • A proactive mindset with the confidence to identify issues and find solutions.

  • Strong Microsoft Office skills, particularly Word, Outlook and Excel.

  • Confidence learning and using technology and business systems.

  • The ability to build positive relationships with clients and colleagues alike.

  • Thrive in a fast-paced, deadline-driven environment, while managing different priorities.

  • Experience in an accounting, legal, financial services or professional services environment (highly regarded).

  • Exposure to systems such as XPM, FYI, Xero, Annature, and Microsoft products or similar platforms (advantageous).
